We are seeking a detail-oriented and self-motivated Intake Specialist/Administrative Assistant to join our estate planning department. This position entails scheduling all appointments for the estate planning department (four attorneys), gathering pre-meeting information from clients, scanning documents and maintaining client databases, notarizing documents, and assisting in all areas to service our clients. The ideal candidate will naturally take ownership and play a crucial role in ensuring the seamless flow of operations, delivering exceptional service to our clients, and supporting our team with administrative tasks.
Key Responsibilities:
- Answer incoming calls into the estate planning department and provide professional, friendly assistance to clients and prospective clients.
- Schedule and coordinate client meetings, ensuring efficient use of time and resources.
- Follow up with clients to obtain necessary documents in preparation for meetings.
- Conduct client prescreening to gather and verify essential information.
- Management multiple attorney calendars.
- Manage mail duties, including sorting, distributing, and responding to correspondence.
- Run ad hoc reporting and data analysis to locate patterns for improvement.
- Communicate directly with clients via phone, email, and letters.
- Perform other administrative tasks as assigned to support the department’s needs.
Qualifications:
- At least 1-2 years of experience working full-time in a professional office environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.)
- Strong phone etiquette and excellent customer service skills.
- Strong decision-making skills with ability to prioritize and multitask effectively.
- Ability to work independently or and collaboratively in a team.
- Excellent attention to detail and organizational skills.
- Strong communication skills, both written and verbal.
- Familiarity with estate planning or law firm operations is a plus.
- Active notary or willingness to become a notary is a plus.
